We are seeking a reliable and organized Secretary to provide efficient administrative support to our department/management team. You will be responsible for managing day-to-day administrative tasks, maintaining records, and facilitating seamless communication within the office. The ideal candidate is a proactive multitasker with excellent attention to detail.
Job Responsibilities
Administrative Support: Manage daily administrative tasks, including answering phone calls, handling correspondence, and greeting visitors.
Meeting Management: Schedule appointments, organize meetings, prepare meeting rooms, and accurately record and distribute minutes of meetings.
Document Handling: Draft, proofread, and format professional business documents, emails, and reports.
Calendar Coordination: Manage and update the manager’s calendar, ensuring timely reminders for meetings and deadlines.
Filing & Archiving: Organize and maintain physical and electronic files, ensuring that documents are easily retrievable.
Travel & Logistics: Assist in coordinating travel arrangements (flights, hotels, transport) and prepare expense reports as required.
Office Liaison: Act as a central point of contact for internal and external queries, ensuring professional and timely responses.
Job Requirements
Education: Bachelor’s degree in Business Administration, Office Management, Communications, or related fields.
Experience: 1–3 years of experience in a secretarial, administrative, or office support role.
Technical Skills:
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent typing skills and experience in document formatting.
Familiarity with office equipment (printers, scanners, projectors).
Soft Skills:
Communication: Professional verbal and written communication skills.
Organization: Superior ability to prioritize tasks and manage time effectively.
Discretion: High level of integrity in handling confidential and sensitive business information.
Attention to Detail: Meticulous approach to document preparation and task management.
