We are seeking a creative, organized, and energetic Event & Admin Coordinator to join our team. You will be responsible for bringing our company culture to life through engaging events, while also providing essential administrative support to ensure our office operations run like clockwork. This is a dual-focus role perfect for someone who thrives in a fast-paced environment.
Job Responsibilities
1. Event Coordination
Planning & Execution: Plan and manage the end-to-end execution of company events, including team-building activities, workshops, year-end parties, and client meetings.
Logistics: Manage event-related logistics: booking venues, coordinating with caterers, handling decoration, and managing audio-visual equipment.
Vendor Management: Negotiate and manage relationships with external event vendors (photographers, decorators, event agencies, etc.).
Communication: Coordinate internal communication regarding event details, schedules, and RSVP tracking.
2. Administrative Support
Office Workflow: Handle day-to-day office administrative tasks, including visitor reception, mail distribution, and office supply management.
Facility Oversight: Ensure the office environment is always clean, professional, and well-maintained.
Data Entry & Reporting: Manage administrative records, prepare event budget reports, and assist with general office filing.
Policy Support: Help communicate and implement company policies to all employees.
Job Requirements
Education: Bachelor’s degree in Marketing, Event Management, Business Administration, or related fields.
Experience: 1–3 years of experience in event coordination, hospitality, or office administration.
Technical Skills:
Proficiency in MS Office (PowerPoint is crucial for presentation/event visuals).
Strong familiarity with social media or design tools (Canva, etc.) is a plus for event promotion.
Soft Skills:
Creativity & Resourcefulness: Ability to create engaging event concepts on a budget.
Project Management: Proven ability to handle multiple tasks and deadlines simultaneously.
Communication: Exceptional interpersonal skills; enthusiastic and service-oriented.
Flexibility: Willingness to work flexible hours (including evenings or weekends for events).
